Here’s how we help you from contract to closing!

Receiving A New File

  • Thoroughly review the contract and ensure it is fully executed with all signatures, initials and dates.

  • Make sure any applicable addenda, broker specific forms, and seller's disclosures are included and signed. 

  • Send introductory email to your client with a detailed transaction timeline, list of important dates, and explanation of Transaction Coordinator duties.

  • Send executed documents to your client, cooperating agent, title, and mortgage company if applicable.

  • Ensure initial escrow deposit is made and obtain confirmation of receipt.

Throughout The Transaction

  • Track the contract's timeline and ensure deadlines are met (ie - escrow due dates, inspection period, loan commitment, title commitment, closing date).

  • Confirm date/time of home inspection(s) and confirm utilities will be turned on.

  • Confirm date/time of appraisal.

  • Prepare additional addenda as needed (ie - price reductions, repairs, extensions, etc.)

  • Obtain HOA contact information, application, and bylaws if applicable. 

  • Ensure the buyer submits HOA application and obtain approval letter if applicable.

  • Maintain regular contact with agent, title company, loan officer and HOA, if applicable, for status updates and outstanding items.

Closing Time

  • Confirm date/time of final walk through and closing.

  • Ensure that the client received the title company’s wire instructions.

  • Obtain confirmation of outgoing wires.

  • Ensure client has utility transfer information.

  • Submit completed file to your office for compliance.

  • Send a personalized thank you to your client.

Real Estate Agent Responsibilities

  • Provide us with your fully executed contract & applicable addenda.

  • Schedule and attend appointments (inspection, appraisal, final walk-through, and closing).

  • Negotiate potential changes to the contract (we will update the contract and/or prepare addenda and obtain signatures/initials).

  • Communicate contingency removals with your client (we will send you reminders of deadlines).

  • Remove your belongings from the property (ie - lockbox, signs, fliers, etc). If sign and post were installed by a third party company, we will contact them to have it removed.
